HostReply + Hospitable: AI Guest Messaging for Hospitable Hosts

HostReply connects to Hospitable in minutes — it's listed on the Hospitable Apps Marketplace, and the connection is a standard OAuth authorization, not an API-key scavenger hunt. Once you approve the connection, your properties (including photos, amenities, and house rules), existing guest conversations, and reservation details sync automatically. From then on, when a guest messages you on Airbnb, Vrbo, or Booking.com, HostReply sees it through Hospitable, looks up the live reservation and property data behind the question, and replies with an answer grounded in your actual data — or texts you first when the question needs a human decision.

Hospitable is the PMS we built our first and deepest integration for, and it's the setup we recommend to new hosts. How the integration works

HostReply is an AI agent, not a template engine. The difference shows up in what happens before each reply gets written.

1. Hospitable delivers the message in real time. When a guest sends a message, Hospitable's webhooks notify HostReply immediately — no polling delays, no stale inbox. The full conversation history is already synced, so the AI has context from every prior exchange.

2. The AI looks things up before answering. Rather than generating a reply from memory, HostReply queries the live data your Hospitable account exposes: the guest's reservation (dates, party size, status), the property record (amenities, house rules, check-in details), your calendar availability, and your FAQs. Ask "can we check in early?" and the AI checks whether the night before is actually open before it answers — it doesn't guess.

3. Confident answers go out; uncertain ones escalate. If the AI can verify its answer against your data, it replies to the guest through Hospitable within seconds — so the message appears in your Hospitable inbox and on the booking platform like any message you'd send yourself. If the question needs judgment — a discount request, a complaint, an unusual ask — HostReply texts you a one-line summary instead. You reply by SMS in plain English, and the AI drafts the polished guest response from your answer. That SMS human-in-the-loop escalation is the core of how HostReply stays accurate: it's designed to never confidently tell a guest something false.

4. It learns your property over time. When guests keep asking the same question the AI had to escalate, HostReply detects the pattern and suggests a new FAQ. Approve it once and the question is handled automatically from then on.

You can also set boundaries for the whole system: rules about tone, when to share sensitive details like door codes and Wi-Fi passwords, what the AI must never handle alone, and which team member gets which type of escalation (maintenance to your handyman, complaints to your manager).

Setting it up

Setup takes about five minutes, and Hospitable documents the flow in their own help center (Connect Hospitable with HostReply.ai):

  1. In HostReply, go to Settings → Integrations.
  2. Click Connect on the Hospitable card.
  3. In the modal that opens, click Connect with Hospitable.
  4. Log in with your Hospitable credentials.
  5. Review the permissions, then click Authorize HostReply.ai.
  6. HostReply syncs your properties and conversations automatically.
  7. Click Done.

That's the whole install. After the initial sync, spend a few minutes reviewing the property details HostReply pulled in, add any FAQs Hospitable doesn't already know about (lockbox quirks, parking gotchas, your favorite local restaurants), and set your escalation rules. Most hosts are watching the AI answer real guest messages the same day.

There's nothing to configure on the Hospitable side — the marketplace connection handles authorization, syncing, and message delivery.

Hospitable's built-in AI vs. adding HostReply
