One Inbox, Three Platforms: Automating Guest Messages Across Airbnb, Vrbo, and Booking.com
If you list the same property on Airbnb, Vrbo, and Booking.com, you've probably run into the same problem from three different angles: each platform has its own inbox, its own template system (if it has one at all), and no idea what the other two are doing. A Vrbo guest asks the same check-in question an Airbnb guest asked yesterday, and you're typing the same answer for the third time this week — because none of your automation follows the guest across platforms. This post covers why that happens, what actually fixes it, and where an AI messaging layer like HostReply fits on top.
Why platform-native tools don't solve this
Airbnb's own scheduled messages feature is genuinely useful — it supports three trigger events (booking confirmed, check-in, checkout) with time offsets and shortcodes that auto-fill guest details. The catch, covered in more depth in our guide to automating Airbnb guest messages, is that it only reaches guests who booked through Airbnb. Vrbo and Booking.com don't share that automation layer, and each has its own separate (and more limited) native messaging tools scoped to reservations made on that specific platform. The result: a host running all three channels ends up either maintaining three separate message configurations, or giving up on automation for two of them and answering those manually.
This isn't a template-writing problem — it's a plumbing problem. Each platform only knows about its own reservations. To run one message sequence across all three, something needs to sit above the platforms themselves and see every reservation regardless of where it came from.
The fix: a channel manager with a real unified inbox
A property management system (PMS) or channel manager solves the plumbing problem by connecting directly to each platform's API and pulling every reservation and guest message into one place. Hospitable and OwnerRez — the two PMSs HostReply integrates with today — both genuinely do this: Hospitable's unified inbox centralizes guest conversations from Airbnb, Vrbo, Booking.com, Agoda, and direct bookings, and OwnerRez connects directly to 25+ channels including Airbnb, Vrbo, and Booking.com, with messages from each channel (including pre-booking inquiries) landing in one dynamic messaging inbox. Once your reservations are flowing through either one, "one inbox" stops being aspirational and becomes what you're actually looking at every morning.
That consolidation is also what makes real automation possible: a scheduled message or an AI reply configured once, at the PMS level, fires for every reservation regardless of which platform it came from — instead of you configuring the same sequence three times and hoping you remember to update all three when something changes.
Where HostReply fits on top
HostReply doesn't replace your channel manager — it sits on top of it. Once your properties are connected via Hospitable or OwnerRez (both are fully live integrations today; Hostaway and Guesty are on our roadmap as coming-soon connections), HostReply reads every incoming guest message — Airbnb, Vrbo, or Booking.com, it makes no difference — against your live calendar, property details, and FAQ database, and can:
- Answer routine questions automatically — Wi-Fi password, parking, check-in time — the same way regardless of which platform the guest booked through, since the answer comes from your property data, not a per-platform template.
- Escalate anything that needs judgment by text, whichever platform it came in on, so you're not checking three separate apps to see what needs your attention.
- Learn from repeated questions across your whole portfolio, not just one platform's guests, and propose new FAQ entries for one-click approval.
- Cost a flat $19 per property per month with a 14-day free trial — one price regardless of how many platforms that property is listed on.
A note for hosts who also run Furnished Finder or mid-term stays
If you list a property on Airbnb and Vrbo but also take mid-term tenants through Furnished Finder, be aware that Furnished Finder isn't one of HostReply's integrations today (nor is it connected through Hospitable or OwnerRez) — hosts commonly report its native messaging as basic, and you'll need to handle those conversations separately for now. What HostReply can do is take the Airbnb/Vrbo/Booking.com side of your inbox off your plate completely, which is often the majority of the message volume for hosts mixing short-term and mid-term stays.
What this doesn't fix
To be direct about the limits: connecting Hospitable or OwnerRez unifies your inbox and calendar, and HostReply automates the replies on top of that — but neither replaces platform-specific settings you still manage per channel, like Vrbo's own house rules fields or Booking.com's cancellation policy configuration. And if a guest reaches you outside any connected platform (a direct text to your personal phone, for instance), that message isn't visible to either system. The fix here is specifically for guest messaging across the platforms you've connected — not a replacement for every platform-specific setting you manage elsewhere.
FAQ
Can Airbnb's scheduled messages reach my Vrbo or Booking.com guests too?
No. Airbnb's native scheduled messages and quick replies only fire for guests who booked through Airbnb. Vrbo and Booking.com reservations aren't visible to that system at all — you'd need a channel manager or PMS that connects to all three platforms to run one message sequence across every reservation.
Do I need Hospitable specifically for a unified inbox, or does OwnerRez work too?
Either works. Hospitable's unified inbox centralizes Airbnb, Vrbo, Booking.com, Agoda, and direct-booking messages in one place, and OwnerRez connects directly to 25+ channels — including Airbnb, Vrbo, and Booking.com — with messages from each landing in its own unified messaging inbox. HostReply integrates live with both.
Does HostReply connect directly to Airbnb, Vrbo, and Booking.com without a PMS?
No. HostReply reads and sends messages through your connected PMS — Hospitable or OwnerRez today — rather than connecting to each booking platform independently. You'll need one of those two connected first; Hostaway and Guesty are coming-soon integrations, not live ones yet.
What about Furnished Finder or other mid-term rental platforms?
Furnished Finder isn't integrated with HostReply, Hospitable, or OwnerRez today. If you mix short-term Airbnb/Vrbo/Booking.com stays with mid-term Furnished Finder tenants, HostReply can automate the short-term side, but you'll need to handle Furnished Finder messages separately for now.
Does this replace my channel manager?
No. Hospitable or OwnerRez does the underlying work of connecting to each platform and unifying your calendar and inbox. HostReply sits on top of that connection to automatically answer and escalate guest messages — it doesn't do channel distribution, pricing, or calendar sync itself.
How much does this cost?
HostReply is a flat $19 per property per month with a 14-day free trial, on top of whatever you already pay Hospitable or OwnerRez for the channel management itself.
Bottom line
Fragmented multi-platform messaging isn't a template problem — it's a plumbing problem, and templates alone can't fix it. Connect Hospitable or OwnerRez to actually unify your Airbnb, Vrbo, and Booking.com reservations into one inbox, then let HostReply answer and escalate across all of them from a single, consistent setup instead of three disconnected ones.
